Privacy Policy

Interactive Voicemail ("we," "us," "our") is a product of Alexana & Co. This policy explains what data we collect, how we use it, and your rights regarding that data.

We provide AI-powered voicemail services that answer phone calls, respond to caller questions, and deliver call summaries to business owners. This policy covers both business customers who subscribe to our service and callers who interact with it.

Information We Collect

From business customers

  • Name, email address, phone number, and business name (provided during signup)
  • Business details you provide for your voicemail's knowledge base: services, pricing, hours, listings, and similar information
  • Voice recordings if you use our voice cloning feature (Pro plan)
  • Billing and payment information processed through our payment provider

From callers

  • Phone number (via caller ID)
  • Name and contact details if voluntarily provided during the call
  • Call audio recordings and AI-generated transcripts
  • Appointment or scheduling details discussed during the call
  • Any other information the caller chooses to share

Automatically collected

  • Call metadata: date, time, duration, and routing information
  • Website usage data: pages visited, browser type, device information, and IP address
  • Cookies and similar technologies for website analytics

How We Use Your Information

  • To provide and operate the voicemail service, including answering calls, generating transcripts, and delivering call summaries
  • To build and maintain your voicemail agent's knowledge base
  • To clone your voice for use in your voicemail greeting and responses (Pro plan, with your explicit consent)
  • To send call notifications and weekly digests to business customers
  • To process payments and manage your account
  • To improve service quality, fix bugs, and develop new features
  • To respond to support requests
  • To comply with legal obligations

AI Processing

Our service uses artificial intelligence to answer phone calls and generate responses. When a caller reaches your Interactive Voicemail:

  • Call audio is processed in real time by our AI voice platform to generate spoken responses
  • The AI uses your business information (knowledge base) to answer caller questions
  • Call transcripts and summaries are generated automatically from the conversation
  • AI-generated content may contain errors or inaccuracies. We do not guarantee the accuracy of any AI-generated response, transcript, or summary

We do not use your call recordings, transcripts, or business data to train AI models. Our third-party AI providers process your data under API terms that prohibit using it for model training. Your data is used only to operate your specific voicemail service.

Call Recording and Consent

Calls handled by Interactive Voicemail are recorded and transcribed to deliver call summaries and improve service quality.

Our voicemail agents identify themselves as automated voicemail systems in their greeting. However, call recording consent laws vary by state and country. As a business customer, you are responsible for ensuring your use of the service complies with applicable recording consent laws in your jurisdiction. We recommend consulting with a legal professional if you are unsure about the requirements in your area.

How We Share Information

We do not sell your personal information. We share data with third-party service providers as necessary to operate the Service, and in limited other circumstances:

Service providers that process call data

To answer calls in real time, caller audio and conversation data is processed by the following categories of third-party providers:

  • Voice AI platform (call routing, speech-to-text, text-to-speech, call recording and transcript storage)
  • Large language model provider (generates conversational responses from caller questions and your knowledge base)
  • Voice synthesis provider (produces natural-sounding speech, including cloned voices on the Pro plan)

These providers receive call audio and text in real time as part of normal service operation. Under their API terms of service, they do not use customer data to train their models. We select providers with enterprise-grade data handling practices, but we do not independently control their infrastructure.

Other service providers

  • Email delivery (call summaries and notifications)
  • Payment processing (subscription billing)
  • Website hosting and analytics

Other sharing

  • With the business customer whose voicemail you called (call recordings, transcripts, and summaries are delivered to the business owner)
  • When required by law, court order, or government request
  • To protect the rights, safety, or property of Interactive Voicemail, our customers, or the public
  • In connection with a merger, acquisition, or sale of assets (with notice to affected users)

Data Retention

We retain your data as follows:

  • Call recordings and transcripts: retained for the duration of your active subscription, and deleted within 90 days of account closure
  • Business account information: retained for the duration of your subscription and for up to 12 months after closure for billing and legal purposes
  • Voice clone data: deleted within 30 days of account closure or upon request
  • Website analytics: retained in aggregate form. Individual session data is deleted after 26 months.

You can request deletion of your data at any time by contacting us. Some records may be retained where required by law.

Data Security

We use industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No system is perfectly secure, and we cannot guarantee absolute security.

Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate information
  • Request deletion of your data
  • Request a copy of your data in a portable format
  • Opt out of certain data processing activities

Children's Privacy

Our service is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

Changes to This Policy

We may update this policy from time to time. We will notify business customers of material changes via email. The "last updated" date at the top reflects the most recent revision.
